Partner data reporting process
Peel Living is collecting information to better understand the range of services provided at our locations. This helps us demonstrate the value and reach of these services to stakeholders, including funders and the community.
The reporting template will help us collect information in a standardized format across Peel Living locations, allowing us to make informed decisions and effectively support our tenants' needs.
Defining a Peel Living tenant
A Peel Living tenant is anyone living in a Peel Living building. For reporting purposes, it doesn't matter if they live in the building where the program or service is held. If a tenant participates in a program at any Peel Living location, count them as a tenant participant.
Reporting using a standardized format
As a Peel Living partner, you may already report information to your sponsors in different formats. We are asking our partners to report data in the standardized partner reporting form so that we can collect the same type of information from all Peel Living partners.
We have designed this reporting process with your other reporting priorities in mind. For this reason, we only ask you to report data you already collect, focusing on participation data for your programs and services. We also welcome feedback on any challenges you may experience and improvements that may be required in the data reporting process.
Each agency submits one report per quarter
You only need to submit one reporting document for each reporting period, even if your agency delivers services across multiple locations.
The reporting template allows you to capture services delivered at multiple Peel Living locations in one document. Each row within the reporting template can be used to capture an individual Peel Living building and the respective program and participation within that building per month.

Data we are requesting
Our focus is on capturing participation data of programs and events and in-unit services delivered across our Peel Living locations. We will collect:
- Name of the Peel Living building.
- Type and name of program or event.
- Primary target population for the program or event.
- Topic of the program.
- The month in which the program is served.
- Number of sessions.
- Total number of participants, including tenants and other unique participants per month.
- Total number of in-unit visits per month.

Reporting all common room services and in-unit support
You should report data for all programs and services that your organization offers, including common room programs, events, and in-unit support across all Peel Living locations.
Do not report services and in-unit support provided to Peel tenants in other buildings like shelters, transitional housing, and group homes. The reporting tool is designed only to capture services and support provided at Peel Living locations.

Calculating total participants per month
To report on the total number of participants each month, you should add the total number of attendees across all sessions.
Participation is not unique. If the same individual attends multiple sessions of the same program or event within a month, count each participation.
For example:
If you had 4 sessions in a month and 10 participants per session, your total number of participants for that month would be 40. If an individual attends all 4 sessions, you must count the participation 4 times in your total participation count for that month.
Unique participation
For in-unit services, count each participant only once, even if they have received the service multiple times in a month. These individuals are classified as unique participants for our reporting purposes.
Total participant vs. total tenant participant count
In the Program and Events tab of the Quarterly Reporting Template, you should include tenants in both the total participant field and the tenant participant field.
The total participant field should reflect the total number of all participants, including both Peel Living tenants and non-tenants. The tenant participant field should specifically count only those who are Peel Living tenants.
Optional data fields
Use this field in the Program and Events and In-unit Services tabs only if you have information on the total number of unique participants or unique tenant participants per month. Otherwise, you can leave it blank.
Reporting additional information
The Additional Questions tab in the reporting template allows you to share any success stories, challenges or barriers and notes related to your quarterly reports. These fields are optional, but we encourage you to share any additional information that could help us better understand your services and strengthen our partnership.
Timelines for data collection and reporting
All existing partners must submit data on their programs and services at the start of quarter 4 of 2024 (October, November, and December).
The first report for this quarter is due by January 31, 2025. Partners will continue to report quarterly, with reports due at the end of the month following each quarter.

Complete your report using the Quarterly Reporting Template provided to you during onboarding and email it to us.
