    New process for ordering vaccines

    Learn how to access and use our new ordering forms for routine and influenza vaccines.

    Peel Region hosted a webinar for health care providers who order vaccines from Peel Public Health.

    The webinar provides instructions on how to:

    • Login to the Peel Health Professionals Portal.
    • Order routine, influenza, RSV, and COVID-19 vaccines using the new digital forms.

    Accessing the Peel Health Professionals Portal

    The Peel Health Professionals Portal is where you can place your vaccine orders, view your order history, and track your vaccine order. Access the Peel Health Professionals Portal.

    Logging into the portal

    The person who can order vaccines at the facility will need to log in with a username and create a password. The username will be unique to them (email address) and their facility (RMP code). Each time you need to access the portal to place a vaccine order or check the status of an order, you will need to log in with your username and a 2-step verification process (6-digit code emailed to you). Your username is your email address plus your facility’s RMP code.

    Username

    The person who orders vaccines for the facility will have their own unique username and RMP code. Your username is your email address plus your facility’s RMP code. If a person orders for multiple facilities, they will have a separate user name for each facility.

    RMP code

    RMP codes are facility specific. This means that each facility has their own specific RMP code. If you are a facility that already administer vaccines, you will have an RMP code. This will be the same RMP code attached to your portal username. The RMP number is not case sensitive.

    New user

    If you create a new user, they will have their own login which includes their own username. The new user will be able to order vaccines on behalf of the facility through the Peel Health Professionals Portal.

    To order routine, influenza, RSV, and COVID-19 vaccines you need to have an account in the Peel Health Professionals Portal.

    Primary facility user

    If you have more than one person who can order vaccines at the facility, there will be a primary user and additional members.

    Everyone will have their own username to access the portal. If there is one person (such as an office manager, clinic lead, registered nurse) who orders vaccines on behalf of the doctors they will be the one registered for the Peel Health Professionals Portal.

    Multiple users who can place vaccine orders

    If your facility has multiple people who order vaccines within a facility, each will be given their own unique username. The username is their email address plus the facility’s RMP code.

    If there is one person at the facility responsible for ordering vaccines on behalf of everyone within the facility, only that person will have a username and can log into the portal and complete a vaccine and supplies order form.

    Multiple facilities

    If you order vaccines for multiple facilities, you will have a separate username for each facility. Each facility can order vaccines and supplies. Each facility will have at least one person responsible for ordering vaccines on behalf of the facility. This person will be provided a username that is specific to each facility they order for. This means that you will not be able to order vaccines for multiple clinics with one username.

    COVID-19 vaccine ordering access changes

    If your facility uses the portal for ordering COVID-19 vaccines, your username will not change, and you can log in the portal will the same username. The changes you will see are:

    • You will not need to key in your password every time you log in the portal.
    • You will need the 6-digit verification code that will be sent to your email.
    • You will see the additional options to order routine vaccines and supplies and during influenza and RVS season.
    • You will have the ability to order vaccines and supplies.

    Entering vaccine inventory

    You will need to provide the current inventory count when ordering vaccines. This include when you are ordering multiple types of vaccines.

    Order reductions

    If your order has been reduced, this will be reflected in the view order history. You will receive notification, and the portal will be updated.

    Ordering influenza and RSV vaccines

    When the ordering period for influenza and RSV vaccines is open, you will see the option to order in the portal and be able to order these vaccines.

    Ordering new vaccines

    When new vaccine products are available to order, they will be reflected in the vaccine order form along with the existing list of vaccines available to order.

    New pneumococcal vaccines

    The portal will be updated with the new vaccines prior to launch. This will include the new pneumococcal vaccines.

    Temperature logs

    You will submit temperature logs by uploading a file such as a jpeg in the vaccine order form. Facilities who have been instructed to submit logs with every order will be required to submit through the portal.

    You will need to user the vaccine order form to update the temperature log. In the form, there is a section titled temperature log.

    To submit your temperature logs click “upload file”. Acceptable file formats: pdf, jpg, tiff, png, doc, docx, or heic. If you have a paper-base temperature log, take a picture, save it as a file (i.e. jpeg) and upload with your vaccine order.

    Temperature logs must be submitted with each online vaccine order through fax or email confirming that your temperatures are within range.

    Orders submitted before the new portal launch

    Peel Public Health will continue to process all order submitted prior to the Peel Health Professionals Portal as they have always done. Once you have access to the portal, your orders will be processed the new way, and you can track those orders in the portal under “view order details”.

    Vaccines not offered through the portal

    There are some vaccines and treatments not being included in this portal at this time. We are working towards expanding the portal services. When we make improvements, such as expanding the vaccine order and supplies options, we will be sure to communicate with you and share the new service offerings.
